Booking, Cancellation and Refund Policy — Meeting Room
(not yet published) — (not yet published) — Commercial Registration No. (not yet published)
1. Scope of this policy
This policy applies to every meeting room booking made through the online booking site or through the branch staff. Confirming a booking constitutes express acceptance of everything set out below: by ticking the acceptance box on the booking form, or, for a booking made through the branch, by the member of staff confirming that they read the policy to you and you agreed to it.
Room operating hours: every day from 07:00 to 23:59 (Riyadh time). Maximum capacity: 8 people. This may not be exceeded.
2. Booking confirmation and payment
Online payment through the site is not currently active. Until it is activated:
- When you choose a time slot, it is held for you for a short period, with a countdown shown on screen, so that you can complete your booking details. If the hold runs out before you confirm, the slot becomes available to everyone again.
- The booking is confirmed as soon as you complete your details and accept this policy, with no online payment, and you are shown a confirmation page bearing the booking number.
- The booking amount remains due and is paid at the branch: Cash and Card on the branch terminal. The booking does not count as paid until the branch records the payment, and the ticket page shows this.
- Activating online payment in future will be announced in a new version of this policy before it applies.
Displayed prices include VAT (15%).
3. Consumption credit
Part of the booking value is granted as credit to be spent on drinks and food inside the café, subject to the following:
- The credit is tied to the booking itself and cannot be transferred to another booking or to another person.
- It cannot be paid out in cash and is not refundable in cash under any circumstances.
- It expires at the end of the booking's operating day.
- Any part of it not spent during the booking lapses and is not compensated.
- Credit does not lapse merely because your absence was recorded; if you arrive late during your booked time, your arrival is recorded first, and you can then spend it until the end of the operating day.
- If the booking is cancelled, the credit lapses in full regardless of the amount of any cash refund.
4. Cancellation at your request, and refunds
This table applies to a cancellation at your request before the booking starts, whether you cancel through your ticket link or ask the branch to cancel on your behalf. Cancellation by us is governed by Section 6.
| Time of cancellation | Amount refunded |
|---|---|
| 24 hours or more before the booking starts | 100% of the amount actually paid |
| Less than 24 hours before the booking starts | 50% of the amount actually paid |
| After the booking has started, or non-attendance | No refund |
- If, at the moment you cancel, exactly 24 hours or more remain before the start, the amount is refunded in full.
- Each booking is governed by the values recorded for it when it was confirmed; they are shown on the ticket page before you cancel.
- Refunds are calculated from what was actually paid. If you have not paid, cancelling is free and there is nothing to refund.
- Cancellation is made through your booking's ticket link, or by contacting us on (not yet published).
A refund always goes back by the original payment method:
-
What was paid in cash is collected from the café cashier within 14 days of the cancellation. The period is counted in Riyadh calendar days: the cancellation date is day zero, and the café's deadline is the end of day 14 after it. If it is not collected within that period, it remains owed to you until it is actually returned; it does not lapse, is not cancelled and is not treated as returned because the period has passed.
-
What was paid by card on the branch's card terminal (POS) is refunded through that terminal to the same card. The café issues the refund on the terminal; when it appears in your account is decided by the bank that issued the card, not by the café.
-
What is paid online, once online payment is activated, is refunded to the same card through the payment provider; your bank decides when it appears.
-
No refund is transferred to another account or returned by any method other than the one used to pay.
-
The amount due to you is recorded at the moment of cancellation. It counts as returned only once it has actually been returned and recorded, and its status is shown on the ticket page.
-
Any transfer commissions or fees imposed by the issuing bank are not our responsibility.
5. Non-attendance and late arrival
- If you do not arrive at the start of the slot, the room remains reserved for you throughout your booked time until its original end, and is not made available to anyone else during it, even if your absence has been recorded.
- If you arrive late during the booked time, your arrival is recorded and you use the time that remains. The booking is not extended because of the late arrival; it ends at its original time.
- When you arrive late, the booking amount is paid at the branch as usual if it has not been paid, and the consumption credit remains available to spend under Section 3.
- If the booked time ends without attendance, there is no refund of what was paid (Section 4). No fee is charged for non-attendance, and no unpaid booking amount is claimed.
- Non-attendance is recorded. While online payment is not active, repeated non-attendance places no restriction on booking or on paying at the branch, and no restriction of that kind will be applied until it is announced in a later version of this policy.
6. Cancellation by us
In rare cases (a technical fault, an interruption of electricity or services, emergency circumstances or force majeure) we may have to cancel a confirmed booking, including a booking for which non-attendance has been recorded while its time has not yet ended. In that case:
- We tell you the reason for the cancellation on the ticket page and in the cancellation message.
- The full amount actually paid is returned to you, with no deduction — the shares in Section 4 do not apply, and nothing is deducted for consumption credit already spent — less anything already returned to you from it, by the original payment method under Section 4.
- If you have not paid, there is no amount to refund and nothing is claimed.
- Our liability is limited to the paid value of the booking only, and does not extend to any indirect damage or loss.
7. Room usage rules
- The booking is for use of the room at its scheduled time only. Subletting it or transferring it to a third party is not permitted.
- Exceeding the stated capacity (8 people) is prohibited, and staff have the right to end the booking without a refund in the event of a breach.
- Food and drinks from outside the café are not allowed; food and drinks in the room come from the café.
- The room is to be left in a reasonable condition. Furniture is not to be moved out of it.
- Compliance with the regulations in force in the Kingdom of Saudi Arabia within the premises.
8. Damage and property
- The booking holder bears responsibility for any damage caused to the room or its contents during their booking period, and will be charged the actual cost of repair or replacement.
- We accept no responsibility for the loss or theft of personal belongings left in the room or the café.
9. Personal data
- We collect your name and mobile number solely for the purpose of completing the booking and communicating with you about it.
- Marketing messages are not sent without separate express consent, which may be withdrawn at any time.
- Data is processed in accordance with the Personal Data Protection Law of the Kingdom of Saudi Arabia; details are in the privacy policy.

11. General provisions
- This policy is governed by the laws of the Kingdom of Saudi Arabia.
- The Arabic text is the legally binding version. Any translation into another language is for guidance only.
- The values stated in this policy — the cancellation window and share, the cash-refund collection period, the payment methods, the hours and the capacity — are shown from the branch's settings, and the text of this policy as shown to you when you confirmed is kept with each booking. A later change does not apply to an earlier booking and does not change its price.
- We may amend the policy; each booking is governed by what was published at the time it was made, subject to Section 12.
12. Bookings confirmed under earlier versions
- Your acceptance record stays as it is: the version you accepted, the time of acceptance and the cancellation values recorded for your booking are not changed, and the text of both versions is kept as it was published.
- The refund shares for a cancellation at your request remain the values recorded for your booking when it was confirmed. The cash-refund collection period in Section 4 does not apply to bookings under versions 1.0 and 1.1; for bookings under version 1.2 it is counted from the cancellation date as in Section 4.
- The following rules also apply to those bookings because they are in your favour, including that any cash refund not yet collected remains owed until it is actually returned: the room remains reserved for you until the end of your booked time even if your absence is recorded, with late arrival possible and no extension (Section 5); consumption credit does not lapse merely because absence was recorded (Section 3); the full amount paid is returned, with the reason given, if we cancel (Section 6); and what was paid in cash is returned in cash at the branch (Section 4).
